Job Title:                             Referral Administrator
Job Type:                             Fulltime - 40 hours per week
Start Date:                          June 2017
Location:                             Ringwood
Position reports to:         Laura Carter (Senior Referral Administrator) & Senior Management Team
Job purpose summary:  Responsible for Medicine Referrals.  To be the first point of contact for clients on the telephone, providing a professional and knowledgeable impression to promote the Practice and give confidence to our clients.

KEY RESPONSIBILITIES:
  • Booking appointments
  • Checking insurance details
  • Discussing payment options with clients
  • Contacting Referring Vets
  • Obtaining pre-authorisations if needed
  • Creating new clients on Rx and ensuring information is accurate and complete
  • Answering Calls and enquiries about Referrals
  • Keeping the Referrals spreadsheet up to date
  • Printing Reports
  • Keeping record of cancelled appointments and the reasons
  • Sending Re-capture letters
  • Using Outlook emails, Microsoft Word & Excel
  • Contact referring practices quarterly to get an updated list of vets (this then needs to be updated on Rx works)
  • Monitoring of the general admin email inbox
  • Answering the telephone to general enquiries
  • Running Emergency referral reports and ensuring clients are contacted on the next working day
  • Attending the morning Rounds meeting and updating the inpatient list
  • Monitoring the inpatient list and making sure the pricing is done each day
  • Completing pricing as per charge sheet
  • Updating clinicians with account status including policy limits
  • When finalised check with Vet and note in notes sections
  • Liaising with the Claims team to let them know when accounts have been checked
  • Dealing with Emergencies calls and paperwork inline with the Company Emergency Policy
  • Pricing accounts
  • Record, pass on and personally follow up enquires promptly and efficiently
  • Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
  • Be responsible for own Personal Development by attending internal / external courses and personal study to develop skills as appropriate
  • Taking payments
  • Understanding insurances, i.e. direct and standard, excesses and claims process
  • Understanding spreadsheets, i.e. Insurance shared, Direct, etc.
  • Understanding how to deal with difficult situations
  • Understanding how to deal with bereaved clients
  • Corresponding with insurance companies on behalf of clients, as required
  • Assisting with sending our RV reports and scanning

  • Being able to adapt to changes within the growing practice and keeping up with changing protocols
PERSON SPECIFICATION:
  • Has had previous administration experience ( veterinary industry advantageous)
  • Excellent communication skills at all levels
  • Good keyboard skills and competence of Word, Excel and Outlook are required
  • A team player with a flexible approach and a willingness to learn
  • Outgoing and confident personality who is able to operate at all levels
  • A self-starter who is pro-active and can set and achieve goals
  • Strong organisational & time management skills
